Dear Vendor,

We look forward to showcasing your artistic talents and nonprofit missions at the MOOSE JAM ‘24 Festival on September 14, 2024.  Your booth will be in “Moose Town,” a unique village of arts, crafts, creative activities, and nonprofit booths.  We welcome everyone to feel part of this community.  Please read details below to help you prepare for the day.  Thank you for your support of The Ashburnham Conservation Trust!

TIMELINE

Please plan your Arrival, Load Drop-Off, Transportation, and Parking per the following schedule:

Saturday 9/14 Rain Date 9/15

*9:30 AM – 11 AM: ARRIVAL and SET UP

*Loads can be dropped off at the top of the driveway. The driveway is several hundred feet that will have mixed foot and vehicle travel, please proceed with caution.

 *Your vehicle must be moved to general parking immediately after unloading.  

*Parking is onsite. Please do not park in the road. Someone will meet and greet you at the bottom of the access driveway leading up to the venue site. Someone will be there to show you your assigned space. Please contact us with special requests.

*Shared volunteer assistance will be available.

*After 11:30 AM - there will be no driveway access for your vehicles; vendors & non-profits may park in the upper lot after dropping off your set up items.

*CHECK IN: You may begin by Checking-In-Station beginning at 9:30 AM. Upon arrival, please stop at the Check-In Station with Karen Sargent for your location assignment. Public entry to Moose Town will begin at 11AM.

*11AM-5PM: Vendor & non-profit booths may remain open.

*5PM: Breakdown of Moose Town - Exact time will depend on stage breaks. We will keep you posted. On-site sales must be closed by 5PM.

*Before You Leave: Your tent area must be cleared and all merchandise packed and in your possession. *There will be no storage provided.  

AMENITIES  &  GUIDELINES 

*Vendors suggestion donation is $25.00, for the first table, $10.00 per additional table, paid to ACT and prior to setting up. Non-Profits may set up for free.
*There is no refrigerated storage.
*Please keep displays, merchandise, and all belongings within your space, allowing for safe foot traffic.
*Please plan to keep all items secure and protected for all weather conditions.
*Only approved merchandise described in your application can be sold. Selling, dispensing, and distributing any items containing alcohol, tobacco, or any type of drugs is strictly prohibited. If you are serving unsealed food items you must provide a certificate from BOH or be willing to sign a waiver holding ACT, RallySound and the property owner harmless of any adverse impact emanating from your presence or activities at the event.

*Nonprofit QR codes: We have created QR codes to display on your tables, which link to your websites or Facebook Pages.  We will have them ready for you when you check in.
*Terrain: the festival site is on mowed field grass, with some gentle slopes. Please wear appropriate footwear. If you bring a collapsible wagon to move your loads, please be sure that it has all-terrain tires.  

*Moose Town coordinator Karen Sargent and volunteers will be available to assist you. If you will need dedicated assistance, please bring someone who can support you throughout the day. 

*Drinking water stations will be available for refilling reusable water bottles.  Please bring your own refillable water bottle.  No packaged water bottles will be sold.

*Electricity will be available. There will be a water station.

*Participants are responsible for providing their own tables and tents and for making sure that the grounds are not damaged in any way and are returned to their original condition.

* Please do not generate any sound which may interfere with the stage performances. No Fireworks,

* Pets are allowed. HOWEVER, they must be always leashed and may not be allowed to bark or otherwise create any disturbance. 
  You must pick up their waste immediately. You will be required to sign a liability waiver holding ACT, RallySound and the property owner harmless. You will be asked to leave if you breach this agreement. Please let us know ahead of time if you plan on bringing your pet.

* All garbage must be disposed of in receptacles for trash & recycling.

*No dumping of any substances, including beverages, food, wastewater, cleaning fluids, etc.

*Pedestrian Traffic will be permitted along the driveway between festival grounds and parking.  Please stay to your right and be mindful vehicle traffic.

*There will be no access to the private residence restricted or garage areas.

* Moose Jam ends at approximately 5:30PM, after The Brü’s set.

The Ashburnham Conservation Trust, our sponsor RallySound and the homeowner are not responsible for any damage, loss of personal property, personal injury or accidents involving vendors and their merchandise. Vendors agree to hold Ashburnham Conservation Trust, RallySound and the property owner harmless from all claims, liabilities, demands, lawsuits, costs, penalties, expenses (including reasonable attorney fees) and judgments due to breach of this agreement.
